Event Staffing Cost Calculator

Estimate total event staffing labor costs by entering staff counts, hourly rates, shift hours, and an agency markup percentage. Add up to four staff categories (servers, bartenders, setup crew, security/coordinators). The calculator shows labor cost per category and total staffing budget including agency markup.

Event staffing cost formula

Category wage = staff count * hourly rate * shift hours
Base wage cost = sum of all category wages
Agency markup amount = base wage cost * (markup% / 100)
Total staffing cost = base wage cost + agency markup amount

Overtime: under the FLSA, non-exempt workers earn 1.5x their regular rate after 40 hours in a workweek. For single-day events where daily hours do not trigger state overtime, this simplified model applies the straight hourly rate. Check applicable state law for daily overtime requirements.

Event staffing tips

  • Book staffing at least 3 to 4 weeks before large events; qualified event staff books up quickly during peak wedding and conference season.
  • Confirm with the agency whether the quote includes gratuity; many agency-provided staff expect a tip on top of the bill rate.
  • Have a staffing plan with defined roles, uniforms, and arrival times distributed to all staff before the event day.
  • Assign a point-of-contact for each staff category who reports to the event coordinator; clear chain of command reduces errors.
  • For events serving alcohol, confirm all bartenders hold valid TIPS (Training for Intervention Procedures) or equivalent alcohol server training certification.

Event staffing costs: frequently asked questions

How many servers do I need per guest at an event?

Standard catering ratios: for a plated dinner service, 1 server per 8 to 12 guests. For a buffet, 1 server per 25 to 40 guests for replenishment and clearing. For a cocktail reception, 1 server per 25 guests for passed appetizers and drinks. For a bar, 1 bartender per 50 to 75 guests for standard events, or 1 per 30 to 40 for open bar events.

What is the minimum shift length for event staff?

Most staffing agencies have a minimum call time of 4 to 5 hours per staff member, even for shorter events. This covers transport, setup, and breakdown time that may extend beyond the guest-facing event hours. Confirm minimum shift length with your staffing agency before budgeting.

What overtime rules apply to event staff?

Under the Fair Labor Standards Act (FLSA), non-exempt hourly workers must receive overtime pay at 1.5x their regular rate for all hours over 40 in a workweek. Some states have daily overtime rules (e.g., California requires 1.5x for hours over 8 in a day). Check your state's labor laws for the applicable overtime threshold.

What is a staffing agency markup?

Staffing agencies typically charge a markup of 30% to 50% on top of the worker's wage rate to cover employment taxes, workers' compensation insurance, liability insurance, recruitment costs, and agency profit. If the worker earns $20/hr, the bill rate to the client is typically $26 to $30/hr.

Do I need event insurance for hired staff?

When hiring through a licensed staffing agency, the agency typically carries workers' compensation and general liability insurance. If hiring staff directly (as independent contractors or temporary employees), you may be responsible for workers' compensation coverage. Check with your insurer and confirm classification of workers before the event.
