Space requirements depend on the event format. A banquet (seated dinner) requires 10-12 sq ft per guest at round tables and 8-10 sq ft at rectangular tables. A cocktail reception (standing) needs 6-7 sq ft per guest. A ceremony with chairs requires 6-8 sq ft per guest. Dancing areas need 2-3 sq ft per expected dancer (not all guests dance simultaneously).

Multiply your guest count by the space allocation per guest for your chosen format (banquet, cocktail, ceremony). Add space for: a head table or sweetheart table (50-100 sq ft), a bar area (50-100 sq ft per bar station), a DJ or band (100-400 sq ft), a dance floor (100-400 sq ft depending on expected dancers), and a buffet or food station (100-200 sq ft per station).

Divide the venue's stated maximum capacity by 1.5 to 2 to get a comfortable capacity for a seated dinner with a dance floor. If a venue states a capacity of 200, plan for 100-130 guests for a comfortable seated dinner with dancing. Overcrowded venues feel uncomfortable and can create safety concerns.

If you are using an outdoor ceremony space, count it separately from the indoor reception space. Outdoor ceremonies need the same 6-8 sq ft per guest for seating. Be sure the venue has adequate contingency indoor space or a weather tent option if you are planning an outdoor event, and verify with the venue what their backup plan is for inclement weather.

Ceiling height matters for tall centrepieces, lighting rigs, and DJ equipment - check minimum clearances. Door and loading dock dimensions matter for large furniture or catering equipment. Parking capacity (usually 1 space per 2.5 guests) and accessibility for guests with disabilities are important practical considerations beyond just square footage.
